The A–Z workflow

Data is entered once and travels through the whole business

A client shouldn't be typed in five times. When a lead becomes a client, that same information flows on to the measurement, the estimate, the contract, the project, the invoice, the payment and the warranty.

Scope

Fourteen modules, a single Core

A contractor shouldn't log in and find thirty disconnected screens. Every module rests on the same base of clients, prices, projects and finances.

  • 01

    Authentication and roles

Everything starts with real access: who you are, which company you can use and what permissions you have.

    • Supabase Auth as the single source of credentials
    • Role-based permissions, not separate applications
    • Every record belongs to a company
    • Users never see internal identifiers
  • 02

    Leads and capture

A client can come in from the website, the phone, a referral or the showroom. It always ends up as a Lead with follow-up.

    • Public form and manual entry
    • Source: web, phone, referral, social media or walk-in
    • Funnel: New, Contacted, Appointment, Measurement, Estimate, Won or Lost
    • Conversion to Client with temporary credentials sent
  • 03

    Catalog and Pricing

Supplier, product, SKU, color, cost, sale price and coverage per box. A single reusable price table.

    • Services visible on the website
    • Price items by quantity, hour, flat rate or crew
    • Internal cost and customer price always kept separate
    • Markup and margin calculated per line
  • 04

    Calculator manager

Room-by-room measurement from your phone and an extensible MathML-based calculation engine.

    • Per-room measurements with automatic totals
    • Real conditions: existing floor, removal, subfloor, leveling, stairs, transitions, baseboards, moisture
    • Waste, boxes needed, material and labor
    • Configurable inputs and outputs to create new calculators
  • 05

    Estimates

The estimate builds itself from pricing and the calculator, and can be edited before it's sent.

    • Company, client, property, products, services, taxes and terms
    • Statuses: draft, sent, viewed, revised, approved, rejected or expired
    • Version history instead of duplicated estimates
    • Client acceptance from their portal
  • 06

    Contracts and signature

When the estimate is accepted, the contract is generated with that same information. Nothing is typed twice.

    • Automatic generation from the approved estimate
    • Electronic signature inside the client portal
    • Date, version, signature and audit data are stored
    • Final document archived in the project
  • 07

    Billing and payments

Deposit, progress and final invoices, with payment records backed by a receipt image.

    • Required and received deposit visible on the dashboard
    • Cash, check, ACH, card or external payment
    • Partial payments with an always up-to-date balance
    • Collections: who owes, how much and since when
  • 08

    Client portal

Clients log in and find only what's theirs, in a much simpler view than the admin system.

    • Estimates, contracts, invoices and payments in one place
    • Project status and installation date
    • Documents and warranty at hand
    • Never sees the company's internal costs
  • 09

    Projects and Job Costing

Payment turns the estimate into a project, and the project accumulates real costs until it yields the exact profit.

    • Purchase orders, material lists and receipt images
    • Statuses: scheduled, material ready, in progress, punch list, completed
    • Change orders that adjust the contract without silently modifying it
    • Revenue minus actual cost equals gross profit and margin
  • 10

    Schedule and calendar

One unified calendar with estimate visits and confirmed projects.

    • Date, start time and estimated duration
    • Crew, lead installer, employees and subcontractor
    • Job address ready for the team
    • Scheduled once material and deposit are ready
  • 11

    Warranties

The company's workmanship warranty and product warranties with the supplier's details.

    • Validity and terms per project
    • Direct supplier contact for the material warranty
    • Viewable from the client portal
    • Linked to the job, not kept on a separate sheet
  • 12

    People and Time Clock

Employee records, clock-in and clock-out, and subcontractor management.

    • The company's employees, crews and subcontractors
    • Time Clock with hours assigned to the project
    • Hours are recorded only once
    • Subcontractors are managed as records under People
  • 13

    Payroll

The same time entry produces two results: the job's labor cost and the employee's payroll.

    • Automatic calculation per hour worked
    • Weekly, monthly and annual views
    • Feeds Job Costing without double entry
    • Subcontractor cost recorded separately
  • 14

    Dashboard and reports

The owner opens the system and sees the business, without opening twenty reports.

    • Sales, jobs in progress, collected and receivables
    • Gross profit, margin, pending estimates and scheduled jobs
    • Conversion, cost, payroll and supplier spend reports
    • Reports read the same Core: no parallel databases

Job Costing

Every job ends with real numbers

Internal cost and customer price never mix. As the project moves forward, ConstruIQ gathers the materials, the labor from the Time Clock, the subcontractors and other expenses, and when the job closes it tells you exactly how much you made.

  • The client never sees the company's internal costs.
  • Change orders adjust the contract explicitly, never silently.
  • Profitability by job, by product, by crew and by service.

Access

One system, governed by permissions

They aren't separate applications: it's the same Core showing each person what belongs to them.

Contractor

Runs the whole company

  • Leads, clients, estimates and contracts
  • Projects, materials, schedule and crews
  • Invoices, payments, costs and profitability
  • Catalogs, prices, users and settings

Client

Only their portal

  • Accepts estimates and signs contracts
  • Sees invoices, payments and balance
  • Checks project status and installation date
  • Downloads documents and checks their warranty

Employee

Their schedule and their jobs

  • Assigned jobs and the day's schedule
  • Clock-in and clock-out Time Clock
  • Notes, photos and installation progress
  • No access to sensitive financial information

Subcontractors are managed as records in the People module, without a self-service portal of their own.

Product constitution

Rules that don't break as the system grows

These are the architecture decisions that keep ConstruIQ simple on the outside while it adds modules on the inside.

  1. 01

    Never isolated modules

Everything plugs into the Core; nothing lives on an island.

  2. 02

All information belongs to a company

A company can never see another company's information.

  3. 03

    Zero duplicate data

Data is entered once and reused across the whole workflow.

  4. 04

    Core before vertical

Flooring extends ConstruIQ; it doesn't replace it.

  5. 05

    Cost is not price

Internal cost and customer price are always kept separate.

  6. 06

Every job ends with real numbers

Revenue, cost, profit and margin when the job closes.

  7. 07

    Mobile first

The contractor must be able to run things from their phone.

  8. 08

    An obvious next action

The screen clearly says what to do next.

  9. 09

    Complexity lives behind the scenes

Very powerful inside, extremely simple outside.

  10. 10

    Reliable data first

Structured data today, intelligence on top of it later.

Next horizon

Flooring is the front door, not the limit

Core 1.0 covers the full operation of a flooring company. On that same foundation, without starting over, ConstruIQ can grow.

Inventory and showroom

Product display, sales advisors and on-the-floor estimates on the same Core.

Multiple locations

Sales, crews, inventory and profit by branch, with a consolidated corporate view.

Intelligence layer

Questions about real data: which jobs lose money, which product leaves the best margin.

New verticals

Painting, drywall, remodeling or roofing without rebuilding leads, clients, invoices or job costing.

These capabilities are part of the product vision and fall outside the contracted scope for Core 1.0.
